Understand access
Read Drive permissions and understand inherited access before sharing.
The location of a file and its permissions both affect who can use it. A file or folder may have direct grants and grants inherited from a parent. Access can be given to people or groups. Your organization and item role determine whether you can change those grants.
Check who has access
- In Drive, open the folder or select the file you want to inspect.
- Open Details and look for Shared with. If you have permission to manage access, choose Manage access.
- Review the people and groups listed, their roles, and any Inherited from parent label. An inherited grant comes from a parent folder or drive; changing access only on this file may not remove it.
- Close the dialog with Done when you have finished reviewing.
The personal drive root itself is not shareable through this panel. The Manage access control can be hidden or disabled when your role does not allow permission changes. Ask an organizer who can manage the parent item if you need an inherited grant changed.
Share deliberately
If Manage access is enabled, the dialog lets an authorized organizer choose users or groups and a role before adding them. Check the selected identity and role before applying a change, then reopen the dialog to confirm what was saved. Copy link copies an item link; it does not grant the recipient access by itself.
Grant only the access a collaborator needs. If someone cannot open a file, first check the file's direct and inherited permissions, then the person's organization membership and product access. Do not assume that a chat or node can read every Drive file merely because you can see it.
